We are presently seeking an Administrative Support Specialist. This person will provide administrative assistance to the Archives Branch of the National History and Heritage Command (NHHC). The will support the coordination of administrative activities, retrieving, organizing and disseminating information to Archives and staff, maintaining databases and digitizing documents. In addition they will also support the administration of the section projects by collecting and reviewing documents and drafting preliminary reports or summaries of the materials.               

Required—you ‘gotta have it:
  • Possess and maintain a minimum clearance level of TOP SECRET.
  • Possess a minimum of 3 years’ experience assisting with the managing budgets over $2M within the last ten years.
  • Be familiar with all Microsoft Office Suites/Programs i.e. Outlook, Excel, PowerPoint, and Word.
  • Have administrative support experience and have strong written and oral communication skills.
  • Demonstrate 3 years’ experience in transcription and/or typing services.

Responsibilities—what your days will look like:
  • Digitizing and organizing documents.
  • Inputting data and/or metadata into databases and other documents.
  • Developing and designing document templates.
  • Collecting photographs, images and other digital media.
  • Assisting with Branch information technology needs.
  • Editing written documents and fact checking.
  • Transcribe UNCLASSIFIED and SECRET oral histories or other audio materials verbatim with less than 5% errors (incorrect transcription of the dialogue, loss or oversight of dialogue, gross misspellings, inaccurate designation of speaker). Transcribers will complete transcriptions at a rate of 1:10 hours.
  • Provide abstract/bulk abstract, keywords and other summary of oral histories or other audio materials
  • Provide an acronym list and/or summary of the basic terminology discussed in the interview in accordance with the NHHC oral history SOP/Desk Guide
  • Provide each finished transcription to the NHHC Archivist for review and approval of product
  • Assist with other related duties as assigned.
