We are presently seeking an Administrative Assistant to assist management staff within the Systems Integration Office (IRM/OPS/SIO). This role requires individuals with Office Management professional experience to work directly for SIO Division Chiefs and support branch management staff. They will be responsible for ensuring communication between divisions, coordinating Data Calls and record keeping, travel schedules, conference room schedules, website content management, as well as managing the day-to-day schedule for the Division management staff. They are required to have strong oral and written communication skills.  They are also expected to have knowledge of and experience with Microsoft Office products, specifically, Word, PowerPoint, Excel and SharePoint.  Candidates will report directly to the SIO Division Chiefs but may also be called upon to directly support the SIO Office Director, a Senior Executive and/or other management staff.             

Responsibilities—what your days will look like:
  • Maintain the Division Chief’s calendar
  • Assist Agency personnel with administrative support.
  • Coordinate all shipping and receiving for the ESOC facility.
  • Daily USPS mail run and processing of all incoming mail.
  • Interfacing/escorting with various contractors, tradesmen and other personnel throughout the data centers as the facility POC.
  • Research and prepare purchase request for authorization.
  • Receive, review, and prepare invoices and quotes for internal and external vendors. 
  • Serve as backup in the absence of other administrative staff.
  • Manage all travel arrangements for the Division Chiefs, Office Director, and other management staff within the directorate as required
  • Maintain Time and Attendance records for the Division Chief, direct reports and others as required
  • Create, track and deliver correspondence as needed
  • Coordinate, track and report on data calls
  • Manage and schedule conference rooms and other shared resources for the Division Chiefs and other management staff
  • Ensure office coverage for telephones, including coordinating with the other SIO office administrators to ensure coverage of the SIO Front Office
  • Maintain SharePoint content for each division and/or the directorate as required
  • Perform administrative functions related to in and out processing of Division staff
  • Maintain up-to-date phone lists, e-mail distribution lists, and organization charts as directed by the Division Chief.
  • Other duties as assigned

Deliverables—what you’ll need to provide on the job:
  • Travel Arrangements and Travel Orders, as directed by IRM/OPS/SIO
  • Correspondence free of typographical and grammatical errors in the standard format used by the Department of State
  • Biweekly Time and Attendance submissions
  • Ad hoc reports to the division chiefs or their designee on status of data calls
